Success Capture Process
2018-2019
Basic philosophy: Centers will the primary contact point for
the students. HO will interact with centers to provide summary
reports and resolve any documentation discrepancies.
Detailed process note
is attached. A snapshot is presented below
It is suggested that
you open the relevant links/ attachments while reading the process. The entire
process is very intuitive and simple to understand.
Step 1: Student will
fill in and submit a registration form (attached)
Hard copies of
the registration form will be made available at the centre. The form has
profile details, score details and call details. Center will maintain a
physical record of the forms received and update the same with
subsequent scorecards & call-letters.
Ensure that you
collect the softcopy of the first scorecard & call-letter when the
student submits the registration form. For subsequent calls/scores, the
student can mail the documents to the center mail id
Center personnel
should hand over a stamped acknowledgement to the student
Idea of a
physical registration form is to ensure that the student speaks to the mentor
and can be initiated into the GDPI process smoothly.
Step 2: Center
maintains an excel log sheet(format sent to every centre) for all profile & score and call-details.
This will also serve as a one-point reference point for
the center where a mentor can know details of calls of
his center. Each chief mentor is encouraged to track this file
meticulously
Step 3: Center personnel should enter the
profile details in Part A (captured on the form) here
: https://ims-success.blogspot.com
Profile details need
to be entered only once.
e.g. If a student has multiple calls, you need NOT enter profile
details again ( Part A of the blog) .
Access to this form is
restricted to only IMS mail ids and hence students cannot fill the
details themselves.
Clarification: If a
test series/correspondence/ GDPI registered student comes to
your center, please enter your centre details on the form
Step 4: Scorecard
& call registration
On the same
link, https://ims-success.blogspot.com, centre personnel will upload score details (
Part B) and call details ( Part C). Scorecard & call-letters will
have to be uploaded for the form to be submitted
A student can
submit soft copy of the scorecard/ call letters by mailing it / coming to the centre (centre
mail ids will be on the acknowledgement receipt handed to student)
Again, each scorecard
and call details need to be updated on the blog only once.
Sample scenario
Student A first visits
the center with filled profile form, CAT score card and IIM
C call.
Center EA enters the
profile, CAT scorecard and call -letter on the blog at once.
The same student
receives one IIM-L call a week later. He mails the soft copy of the IIM call
letter to the center. Center need not update Part A & B on the blog
again. EA will only update Part C for IIM L call and upload the IIM L call-letter
Step 5 : As soon as the detailed are
entered on the blog, the backend captures all the required data. PG team will
validate the data and uploaded documents. On regular basis,
the centers will receive summary reports.
Care to be taken
during the process
1. It is imperative that centre collect
scorecards and call-letters. Only call-letters and scorecards uploaded will be
considered for all success counting purpose. Centres are
strongly advised to allow access to sessions/ Mock PIs only when call details
are submitted by the student. Please do not allow any deviations on this
A good way is to treat
the acknowedgement receipt as ID card for all GDPI
sessions. Mentors will be be able to track call received/call letters
submitted status instantly during the sessions itself
2. Utmost care should
be taken to avoid duplication of entries while entering details on the blog.
3. Please update the
registration form and excel sheet log after every call/score
card received.
